Executive Assistant (M/F) - Based in New York
A fast-growing French investment firm is seeking an experienced Executive Assistant to support its Principal in New York !
This role is ideal for a highly proactive professional with good attention to detail, a strong sense of anticipation, and a deep commitment to operational excellence. The position is suited to someone seeking a long-term opportunity, where rigor and reliability are essential.
Serving as the Principal’s executive right hand, the Executive Assistant oversees daily priorities and operations, allowing the Principal to focus fully on strategic initiatives, client relationships, and key projects. The successful candidate plays a central role in streamlining operations within the New York City office and will thrive in a French-American, bicultural environment.
Key Responsbilities:
Executive Support to the Principal
- Manage calendars, meetings, travel arrangements, and professional priorities.
- Oversee complex and constantly evolving schedules across international time zones, including last-minute changes.
- Prepare meetings, briefing materials, presentations, and reports with precision and efficiency.
Travel Coordination
- Handle all aspects of business travel arrangements: flights, accommodation, ground transportation, detailed itineraries, travel documentation, and expense tracking.
- Collaborate with Paris-based assistants to coordinate travel for French team members and offsite events.
Communication & Liaison
- Serve as a point of contact between partners, internal teams, clients, and external stakeholders.
- Manage incoming and outgoing communications professionally in English and when applicable, in French.
- Coordinate conference calls and international communications, ensuring smooth and efficient exchanges.
Office Operations Support
- Oversee day-to-day office operations: resources, vendors, space optimization, and general support.
- Manage invoices, payments, and orders in a practical and cost-conscious manner.
- Provide cross-functional support to other assistants and contribute to the implementation of internal procedures.
Qualifications
- Native-level English, with strong verbal and written communication skills. French is a plus.
- Significant experience as an Executive Assistant, ideally supporting senior executives or partners in finance, consulting, or other demanding environments.
- Advanced proficiency in Microsoft Office, particularly PowerPoint and Excel.
- Highly autonomous, discreet, and professional.
- Experience within an investment fund or a top-tier law firm is a plus.
- Strong understanding of American business culture and ability to thrive in a bicultural environment.
Additional Information / Benefits
- Compensation: $100,000–$120,000 base salary + bonus, depending on experience and qualifications.
- Location: New York, Park Avenue (office located in a business center).
- Hours : Usually, 7:00 a.m. to 4:00 p.m.
