Executive Assistant to the ExCom M/F
Are you an experienced Executive Assistant looking for a high-responsibility role supporting members of the ExCom? This challenging role is perfect for you.
Your role:
- Calendar management: You will oversee multiple complex, constantly evolving calendars across various time zones, ensuring seamless coordination. You will need to be able to problem-solve, reacting quickly to last minute changes and conflicts, and organising meetings between ExCom members both online and in person.
- Travel planning: You will coordinate international business travel, managing transport, visas, documentation, and hotel arrangements. A meticulous eye for detail is crucial to anticipate all needs, create precise itineraries, and liaise with local teams and partners to ensure smooth operations on the ground.
- Administrative management: In preparation for meetings, you will produce and provide the agenda and compile comprehensive ExCom packs. During the meetings you will take minutes and follow up on any action points.
- Communication: Your discretion and confidentiality are key in this role, especially when handling and drafting briefing materials and sensitive information. You will act as the liaison between members of the ExCom, as well as between external stakeholders.
Your profile:
- You have at least 7-10 years of experience supporting COMEX members, in a demanding, high-responsibility international role.
- You are highly experienced in organising high-level international travel. Your rigorous organisation is essential, as well as an excellent ability to prioritise and juggle multiple tasks.
- You are fully bilingual in French and English, both written and spoken, and confidently use both languages in the workplace.
- You have strong digital skills, with an excellent proficiency in Pack Office and the ability to quickly master new digital tools.
- You are reliable, approachable, and discrete. Your excellent interpersonal skills will allow you to communicate effectively and integrate smoothly into this company.
