Executive Assistant COMEX - 2nd arrondissement M/F

As an Executive Assistant, you will support the CEO and their team in a high-responsibility role, providing administrative support and using your organisational skills to work efficiently, meticulously, and autonomously. In this role, strong communication skills are a must-have, alongside sharp problem-solving skills and an excellent level of English.
Your role:
- Calendar management: You will oversee the planning of meetings, events, and business trips, whilst juggling complex schedules. During meetings, you will take minutes, follow up on important topics, and distribute materials as required.
- Travel arrangements: In order to effectively plan business trips, you must communicate carefully with your colleagues to ensure that all elements are thoroughly arranged, leaving no room for error.
- Office management: You will take care of any requirements within the office, providing the team with the relevant equipment, and assisting with IT queries and requests. In addition, you will follow up on medical checks, payroll, attendance, and expense reports.
- Communication: You will act as the main point of contact for personal and executive assistants, handling communication on behalf of the CEO. As an approachable and supportive member of the company, you can nurture and enable efficient collaboration and expertly manage internal communication.
- Document management: A key part of this role is maintaining and organising files, keeping the databases up to date, and ensuring that all records and documents are in order. You will use your knowledge of various technologies to share documents, follow up on expenses, and ensure a well-organised online filing system.
Profile:
- You have over ten years of experience working as an executive assistant in an international environment and have developed essential project and office management skills.
- You have an excellent command of Pack Office, reporting tools, and data analysis.
- You are fluent in English, have mastered both speaking and writing, and feel comfortable using English as your main language at work.
- You are proactive, can work autonomously, and are always willing to take on new challenges.
- You have strong problem-solving skills and a keen eye for detail, allowing you to handle important information with discretion and confidentiality. Your adaptability and flexibility are key to success in this ever-changing role.
- Your communication skills are imperative to connect with your colleagues and nurture a happy working environment.
Additional Information:
Salary: 60-65K€
Working hours: 9AM-5PM/6PM, with some flexibility
Working from home: 2 days per week
Location: Paris, 2nd arrondissement
N.B the office will be moving to Levallois-Perret in 2026
